Introduction

SoloCRM ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our iOS mobile application ("App"). Please read this Privacy Policy carefully. If you do not agree with the terms of this Privacy Policy, please do not access or use the App.

Information We Collect

Information You Provide Directly

When you use SoloCRM, you may provide us with the following types of information:

  • Contact Information: Names, email addresses, phone numbers, company names, and notes about your contacts
  • Business Data: Project details (titles, descriptions, amounts, deadlines), invoice information (numbers, amounts, descriptions, dates), expense records (amounts, categories, dates, notes), and related business information
  • User Preferences: Settings, preferences, and customization options you configure within the App

Information Collected Automatically

  • Device Information: We may collect information about your device, including device type, operating system version, and unique device identifiers
  • Usage Data: Information about how you interact with the App, including features used and time spent in the App
  • Local Storage: All data you create in the App is stored locally on your device using SwiftData

Information from Third-Party Services

Authentication: SoloCRM uses Firebase Authentication to provide secure sign-in options. You can sign in using:

  • Google Sign-In: When you choose to sign in with Google, we access your Google account email address and display name. This information is used solely for authentication and account identification. Google's privacy policy applies to this authentication process.
  • Apple Sign-In: When you choose to sign in with Apple, we receive your Apple ID email address (or a private relay email if you choose to hide your email). This information is used solely for authentication and account identification. Apple's privacy policy applies to this authentication process.
  • Anonymous Authentication: You can use the App without creating an account. In this case, Firebase creates an anonymous authentication token that is stored locally on your device. No personal information is collected for anonymous authentication.

Authentication information (email addresses) is stored by Firebase Authentication and is subject to Google's privacy policy. We do not use authentication information for any purpose other than account identification and security.

  • Contact Import: If you choose to import contacts from your device's Contacts app, we access contact information (name, email, phone, company, notes) that you have stored on your device. This information is only accessed with your explicit permission and is used solely to populate your SoloCRM contacts.
  • Cloud Sync (Pro/Business AI Feature): If you are a Pro or Business AI subscriber and choose to enable Cloud Sync, your contacts, invoices, and projects data will be synced to Google's Firestore cloud database. This includes all contact information, invoice details, project information, and related metadata. Cloud Sync is optional and can be enabled or disabled at any time in Settings. Cloud Sync is only available to Pro and Business AI subscribers.

How We Use Your Information

We use the information we collect to:

1. Provide Core Functionality: Enable you to manage contacts, projects, invoices, and expenses

2. AI-Powered Features (Business AI Tier Only): When you use the AI Nudge feature to generate payment reminder emails, we send relevant invoice and contact information to Google's Firebase Generative AI service (Gemini) to generate personalized email content. This includes: client name, invoice amount, invoice number, due date, days overdue, and project type (if applicable). This data is sent to Google's servers for processing and is subject to Google's privacy policy. We do not store this data on our servers. AI-powered features are only available to Business AI tier subscribers.

3. Cloud Sync (Pro/Business AI Feature): If you are a Pro or Business AI subscriber and enable Cloud Sync, your contacts, invoices, and projects data will be automatically synced to Google's Firestore cloud database. This allows you to access your data across multiple devices, keep your data backed up in the cloud, and sync changes in real-time. Cloud Sync is optional and can be enabled or disabled at any time in Settings. When enabled, your data is stored both locally on your device and in Google's Firestore database. When disabled, your data remains only on your device.

4. Improve the App: Analyze usage patterns to enhance user experience and fix bugs

Authentication and Security: Authenticate your identity using Google Sign-In, Apple Sign-In, or anonymous authentication; enable biometric authentication (Face ID or Touch ID) for app access (biometric data is stored securely on your device using Apple's Keychain and is never transmitted to our servers or third parties); and secure your data with device-level encryption.

6. Local Processing: Use on-device processing for features like speech recognition (using Apple's Speech framework) for voice notes and Optical Character Recognition (using Apple's Vision framework) for receipt scanning. All processing occurs on your device and is not transmitted to external servers.

Data Storage and Security

Local Storage: By default, all your data is stored locally on your iOS device using SwiftData. We do not maintain our own servers to store your personal information. Your data remains on your device unless you choose to export it or enable Cloud Sync (Pro/Business AI feature).

Cloud Storage (Pro/Business AI Feature): If you are a Pro or Business AI subscriber and enable Cloud Sync, your contacts, invoices, and projects data will be synced to Google's Firestore cloud database. This data is stored on Google's servers and is subject to Google's privacy policy and security measures. You can disable Cloud Sync at any time, and your data will continue to be stored locally on your device.

Data Security: We implement appropriate technical and organizational measures to protect your information: data encryption at rest on your device; secure local database storage; no transmission of sensitive data except as necessary for AI features (Business AI tier) and optional Cloud Sync (Pro/Business AI feature); and Cloud Sync uses encrypted connections (HTTPS/TLS) when transmitting data to Firestore.

Third-Party Services

Firebase (Google):

  • Authentication: When you sign in using Google Sign-In, Apple Sign-In, or anonymous authentication, your authentication credentials are managed by Firebase Authentication. This includes email addresses used for account identification. Firebase Authentication is subject to Google's privacy policy.
  • AI Features: When you use AI-powered features, invoice and contact data is sent to Google's Firebase Generative AI service (Gemini). This data transmission is necessary for the AI feature to function. Google's use of this data is governed by their privacy policy: https://policies.google.com/privacy
  • Cloud Sync (Pro/Business AI): If you enable Cloud Sync (Pro/Business AI feature), your contacts, invoices, and projects data is stored in Google's Firestore cloud database. Apple: When you enable Face ID or Touch ID authentication, biometric data is processed locally on your device using Apple's LocalAuthentication framework. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • 1. With Your Consent: When you explicitly authorize us to share information
  • 2. Service Providers: With third-party service providers (like Google Firebase) who assist us in operating the App, subject to their privacy policies
  • 3. Legal Requirements: When required by law, court order, or governmental authority
  • 4. Protection of Rights: To protect our rights, privacy, safety, or property, or that of our users

Your Rights and Choices

Access and Control: You have the right to: access (view all data stored in the App at any time); modify (edit or update your information directly within the App); delete (delete contacts, projects, invoices, expenses, or any other data at any time); export (export all your data in JSON format using the backup feature in Settings); import (restore previously exported data); control Cloud Sync (enable or disable Cloud Sync at any time in Settings); and delete cloud data (disable Cloud Sync to stop syncing, and delete data within the App to remove it from cloud storage).

Permissions: The App requests the following permissions:

  • Contacts: To import contacts from your device's Contacts app. You can deny this permission and still use the App by manually entering contact information.
  • Speech Recognition: To use voice note transcription features. This is optional and only requested when you use voice features.
  • Camera/Photos: To scan receipts using OCR (if implemented). This is optional and only requested when you use receipt scanning features.
  • Biometric Authentication (Face ID/Touch ID): To secure app access with biometric authentication. This is optional and can be enabled or disabled in Settings. Biometric data is processed locally on your device and is never transmitted to our servers.

You can revoke these permissions at any time through your iOS device settings.

Children's Privacy

SoloCRM is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately.

International Data Transfers

When you use AI-powered features (Business AI tier) or enable Cloud Sync (Pro/Business AI feature), your data may be transmitted to Google's servers, which may be located outside your country of residence. By using these features, you consent to such transfers. Google's data processing is subject to their privacy policy and applicable data protection laws. If you do not use AI features or Cloud Sync, your data remains entirely on your device and is not transferred internationally.

Data Retention

Your data is retained on your device until you delete it or uninstall the App. When you delete data within the App, it is permanently removed from your device. If you uninstall the App, all local data is deleted unless you have exported it first.

If you have enabled Cloud Sync (Pro/Business AI feature), your data will also be stored in Google's Firestore database. You can delete your cloud data at any time by disabling Cloud Sync and deleting the data within the App, or by contacting us to request deletion of your cloud data.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by: posting the new Privacy Policy in the App; updating the "Last Updated" date at the top of this policy; and providing in-app notification of significant changes (when feasible). Your continued use of the App after any changes constitutes acceptance of the updated Privacy Policy.

California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA): right to know what personal information is collected; right to delete personal information; and right to opt-out of the sale of personal information (we do not sell your information).

European Privacy Rights (GDPR)

If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation (GDPR): right to access your personal data; right to rectification (correction); right to erasure ("right to be forgotten"); right to restrict processing; right to data portability; and right to object to processing. Additional Information

Apple's Privacy Requirements: This App complies with Apple's App Store privacy requirements: we only collect data necessary for App functionality; contact access is optional and used only for importing contacts; all data processing is transparent and user-controlled; we do not track users across apps or websites; Cloud Sync (Pro/Business AI feature) is optional and user-controlled; subscription tier status is stored locally and not shared with third parties; authentication is handled securely through Firebase Authentication; biometric authentication data never leaves your device; and AI features are clearly disclosed and user-initiated.

Third-Party Privacy Policies: This Privacy Policy applies only to SoloCRM. When you use third-party services integrated with the App, their privacy policies apply: Google Privacy Policy (Firebase Authentication, Firestore, and Gemini AI); Apple Privacy Policy (Apple Sign-In, biometric authentication, and device services).

Premium Subscription

SoloCRM offers three subscription tiers:

  • Free Tier (The Teaser): Limited to 3 active invoices; local data storage only; CSV/Text export; manual contact entry (no bulk import); basic nudge templates only.
  • Pro Tier (The Workhorse): Unlimited invoices, contacts, and projects; Cloud Backup & Sync; Document History & Milestone Tracking; bulk contact import.
  • Business AI Tier (The Assistant): All Pro Tier features; AI-Powered Custom Nudges (Gemini integration); One-Click Tax Season Export (PDF/CSV); Receipt OCR Scanning; Priority Support.

Subscription status is stored locally on your device and is not transmitted to our servers. Subscription management is handled through Apple's App Store and is subject to Apple's privacy policy. When you purchase a Pro or Business AI subscription, Apple processes the payment and provides us with subscription status information necessary to enable premium features. We do not receive your payment information or credit card details.

Account Deletion

You can delete your account and associated data at any time:

  • Local Data: Delete all data within the App, or uninstall the App to remove all local data
  • Cloud Data: If you have enabled Cloud Sync, disable it in Settings and delete data within the App. To request deletion of your Firebase Authentication account or Firestore data, contact us at info@muehldorfsd.com

Use of Artificial Intelligence

Parts of our content, including practice questions and educational explanations, are generated or curated using advanced Artificial Intelligence (AI) models to ensure broad and updated coverage of official study materials.

Accuracy Disclaimer

While our AI engine is trained on official handbooks and regulations, AI can occasionally generate incorrect information. This app is provided "as-is" for study assistance only and does not constitute an official government or board-certified document. Users are responsible for verifying information with official sources before taking any certified exam.

No-Guarantee Clause

Use of this app does not guarantee a passing result on any official exam. We are not liable for any failed attempts, fees, or lost opportunities resulting from the use of this study tool.

Intellectual Property and Anti-Scraping

Users may not use automated systems (bots, scrapers, or AI) to extract content from this app for commercial use or to create competing databases.

12) Governing Law and Jurisdiction

These terms and your use of the App are governed by and construed in accordance with the laws of the Hashemite Kingdom of Jordan. Any legal action or proceeding related to this App shall be brought exclusively in the courts of Amman, Jordan. By using this App, you consent to the personal jurisdiction of and venue in such courts.
